Hiring Administrative Assistant

The Halal Butcher is a well-established meat shop in Kelowna, BC, offering a wide variety of high-quality, Halal-certified meat products. We are seeking a dedicated and detail-oriented Administrative Assistant to join our team and contribute to the efficient operation of our shop. Position: Administrative Assistant

 

Key Responsibilities

  • Prepare, input, edit, and proofread a variety of documents including invoices, customer orders, reports, and promotional materials, based on verbal instructions and handwritten notes.
  • Answer phone calls, respond to customer inquiries, and provide information on product availability, custom orders, and delivery schedules.
  • Manage the butcher shop’s appointment schedule, including custom orders, meetings for the shop owner, and delivery coordination.
  • Create and maintain both manual and digital filing systems for records like customer orders, invoices, supplier contracts, and health and safety documents.
  • Set up and streamline office procedures to ensure efficient workflow, from order processing to customer service interactions.
  • Perform general office administrative duties including faxing, photocopying and scanning documents.
  • Maintain records of daily sales, inventory, and vendor invoices.
  • Assist with preparing and updating price lists, product descriptions and promotional materials.
  • Track and manage inventory status, including meat products and packaging supplies, ensuring stock levels are adequate.
  • Assist with basic bookkeeping tasks, including data entry for accounts payable and receivable.
  • Take minutes during staff meetings or vendor discussions and distribute follow-up notes or action points.
  • Organize travel arrangements for the shop owner, including booking accommodations and transportation for business trips such as supplier visits or conferences.
  • Help maintain the shop’s online presence by posting updates, promotions, or event details on social media.
  • Provide excellent customer service and represent the shop with professionalism at all times.

 

Employment requirements

  • Secondary school diploma required.
    At least 2 years of experience in an administrative assistant role

OR equivalent qualifications will be considered.

  • Outstanding organizational skills, with the ability to manage multiple tasks and prioritize effectively under pressure.
  • Ability to troubleshoot and resolve administrative and operational challenges independently.
  • Demonstrated ability to manage deadlines and complete tasks with minimal supervision.
  • Comfortable working in a busy and dynamic environment with changing priorities.
  • Familiarity with inventory management is highly desirable.
    High level of accuracy in document preparation, record-keeping, and data entry.
  • Strong verbal and written communication skills in English, with the ability to interact professionally with customers, suppliers, and staff at all levels.

 

Wage

$29.00 per hour
